There are many notifications that are sent from the system. This Post will explain the different types of notifications, who receives them, and how often they are sent.

We will be explaining the following Notifications that are sent via Email.

Task Assignment

Task Assignment notifications are real time Emails for Audit, PHA, Incident Investigation Recommendation Task Assignments. These notifications are sent when a Task is assigned and include information concerning who Assigned the Task, which location/facility the Task is for, the type of Task, the Recommendation details, and the Due Date. These emails include a link which takes you to the Task.

Task Reminder/Overdue/Critical

Task Reminder notifications are Emails that have been assigned to an individual or group such as Audit and/or PHA recommendations, Equipment Inspection Checklist Tasks, Workorders, MOC, etc… These notifications are sent to the assigned person based on the Due Date that is set for each Task. Typically, these notifications are sent 7 days prior to the Due Date, on the Due Date, and every 7 days after the Due Date until completion. There may be an escalation where once overdue, additional person(s) are notified. After 30 days the Task is updated to Critically Overdue. These Emails contain information relative to the Task, as well as a link which takes you to the Task. Critically Overdue Notifications also contain the # of days Task is overdue.

Employee Safety Training

Each week on Monday a Training Summary Email is sent to any individual that has Training Overdue or Training that is Upcoming and lists those Topics as well as their Due Date. The Topic Title is also a clickable link to the Training Topic.

Plant Training Summary

Each Monday a Plant Training Summary can be emailed to requested persons which lists all users at the facility that have Overdue and Upcoming Safety Training as well if they have any Tests Pending Trainer Review.

Employee SOP Training

Each Monday a SOP Training Summary Email is sent to any individual that has SOP Training Overdue or SOP Training that is Upcoming and lists those Topics as well as their Due Date. The Topic Title is also a clickable link to the SOP Training Topic.

Plant Employee SOP Training Summary

Each Monday a Plant SOP Training Summary can be emailed to requested persons which lists all users at the facility that have Overdue and Upcoming SOP Training as well if they have any Tests Pending Trainer Review.

Trainer SOP Training Summary

Each Monday a Trainer SOP Training Summary is emailed to Trainers, which lists all users at the facility they are a Trainer for, that have Overdue and Upcoming SOP Training as well if they have any Tests Pending Trainer Review.

Plant SOP Certification Summary

On the 1st day of each month a Plant SOP Certification Summary can be emailed to requested persons which list all of the SOP’s that require Review/Certification because of the Annual Certification, or because the SOP was modified.

Recommendations Change Due Date Request

For Audits, PHAs, and Incident Investigations there is a setting that can be turned on that require an approval to change the Due Date once the initial Due Date is set. If turned on, a setting is available to set who gets the Change Request notification and is able to Approve or Reject the Due Date change requests. Each person in this Approval Group receives an Email that includes the Change Request information and includes a link to open and Approve/Reject the request. Once the request has been Approved or Rejected an email will also be sent which indicates if the request was Approved or Rejected.

Incident Investigation Notifications

You can setup Notifications for Incident Investigation Creation, Updates, and Completion. These notifications include information concerning the Incident as well as a Link to open the Incident.

MOC Notifications

MOC Notifications are setup within the MOC area and are sent based on the MOC Notification Group Membership and the MOC Status. These notifications include information concerning the MOC, a PDF of the MOC, as well as a link to open the MOC.

MOC Review of Needs Notification

Within the MOC there is a section titled Review of Needs. When these are assigned an email is sent to the Assignee. This includes the information relative to the Review of Needs Item that is Assigned as well as a PDF copy of the MOC.

MOC Contractor Notification

Within the MOC you have the ability to assign the Engineering Checklist to Contractors. If this is done an email with a PDF copy of the MOC and Engineering Checklist as well as a link to do the Engineering Checklist online is sent to the Contractor.
